- Deliver excellent customer service and maintain professional conduct when dealing with clients, vendors, and guests.
- Manage front desk operations, including visitor registration and access control.
- Handle incoming and outgoing phone calls, emails, and correspondence professionally and promptly.
- Maintain a polished, well-groomed appearance in line with company dress code and workplace standards.
- Keep the reception desk clean, organized, and properly stocked with essential supplies.
- Ensure all required permits, licenses, and certifications are current and properly displayed.
- Coordinate meetings and schedules to prevent conflicts and ensure smooth operations.
- Assist in reviewing, approving, and coordinating gate passes and work access permits.
- Maintain accurate, organized, and ISO-compliant filing of documents, records, and forms.
- Keep updated records of client and vendor contact details and operational information.
- Monitor consumable supplies and track inventory usage and stock-out items.
- Assist in implementing and monitoring daily and weekly housekeeping cleaning checklists.
- Ensure strict adherence to the 52-week preventive maintenance schedule for facilities and equipment.
- Support facilities upkeep by coordinating with housekeeping and maintenance teams.
- Conduct customer feedback surveys across managed sites to support service improvement.
- Recommend process improvements to streamline administrative and operational workflows.
- Bachelor’s College Degree in Business Administration, Tourism/Hotel and Restaurant or other related courses.
- Excellent verbal and written communication skills with strong active listening abilities.
- Friendly, professional, and empathetic demeanor to create a positive first impression.
- Strong multitasking skills with the ability to manage calls, scheduling, and paperwork efficiently.
- Effective problem-solving skills and ability to respond quickly to unexpected situations.
- Strong time management and task-prioritization skills to meet deadlines.
- Polite, courteous, and customer-focused attitude in all interactions.
- High attention to detail to ensure accuracy when handling information and schedules.
- Ability to remain calm, organized, and efficient in fast-paced or high-pressure environments.
- Dependable, reliable, and consistent in fulfilling assigned responsibilities.
- At least 6 months to 1 year of experience as an employee specialized in Maintenance and repair in building and facilities management.
- Willing to work on site and shifting schedule.
- Amenable to work six (6) days a week.
